Avondale University is seeking a Faculty Officer on a part-time (29.5 hours per week) basis to join the team on the Lake Macquarie Campus.

The Faculty Officer provides high-level operational and administrative support to ensure the efficient functioning of academic schools (excluding Nursing & Health) at Avondale’s Lake Macquarie Campus. Reporting to the Deputy Vice Chancellor (Academic), the role oversees a team of administrative staff and acts as a key liaison between schools and other university services.

 

What will you do?

Some of the main duties will include:

  • Provide leadership and management of the Faculty Office team by addressing questions, solving problems, and providing effective solutions to assist them in the conduct of their roles
  • Act as a link between schools and University administration in relation to policy implementation, support service delivery and provision and co-ordination of information and general communication
  • Maintain effective processes and systems to ensure compliance within the schools with policies and procedures of the University as well as in relation to TEQSA standards and assist with guiding continuous improvement and quality assurance within the faculties
  • Assist with grades review and exam board meetings within the schools and staff representation at meetings
  • Oversee the processing of extension requests and appeals related to student matters across the schools
  • Manage cases of academic misconduct across the schools to ensure compliance with university procedures, provide critical administrative support, and act as recording secretary as required
  • Assist the Head of Schools and Course Convenors with accreditation processes as well as other projects in line with the faculty objectives
  • Manage the development of casual academic staff contracts, including advising and consulting with Heads of Schools on academic activities aligned to the EA Schedule of casual academic work

 

About you

To be successful in the Faculty Officer role, you will be an experienced administrator with a strong background in faculty operations, compliance, and team leadership. You will thrive in roles that require coordination, policy implementation and continuous improvement of administrative processes and have a passion for supporting both staff and students.  

 

Essential criteria

  • Tertiary qualification in a relevant discipline and/or equivalent experience
  • Experience in managing an administrative or professional team
  • Excellent interpersonal, verbal and written communication skills and demonstrated high level client service skills in responding to and following up on day-to-day requests and demands
  • Highly developed project management skills and demonstrated administrative experience in managing change
  • Well developed organisational, analytical, problem solving and time management skills including a demonstrated ability to work to strict timelines and juggle conflicting demands
  • Highly developed computing skills including word processing, excel spreadsheets, databases, email, and internet
  • Demonstrated ability to take initiative and work independently with minimal supervision in a stand-alone position and as part of a team
  • Capacity to supervise, motivate and support others in the implementation of policies, procedures and processes
  • Capacity to identify, assess, prioritise and control risks to the health and safety of staff, students and visitors and to the environment arising from the operation of the Faculty and to promote a safe work place and identify and rectify unsafe practices
  • Demonstrated ability to develop and implement equal opportunity policies and programs

Desirable criteria

  • Experience in a Christian higher education administrative role
  • Experience as a committee secretary in structuring and preparing agendas, preparing reports and discussion papers, and writing minutes

Salary: Avondale Higher Education Worker Level 6 $42.44 – $47.42 per hour, plus superannuation.
